Receptionist

Experience :        2 Years                         

Duties & Responsibilities:
  • Welcome and control of visitors in a pleasant and efficient manner
  • Announce the visitors to their host by the phone and ask them to wait for a short moment
  • Delivering temporary visitor cards – handled by security
  • If visitors have a waiting time, offer them a coffee to reduce the waiting time
  • If required assign free password for internet (Wi-Fi) to visitors
  • Answering promptly and passing through of incoming and outgoing telephone calls
  • Provide general information to the public according to guidelines and instructions received from the Facility Department
  • Handling reservations and preparing of the meeting rooms
  • Control and management of room material (chart, marker pens, paper, etc.). In case of missing items, the receptionist should contact the appropriate person (Facilities Department) responsible for ordering missing items.
  • Handling of lost and found objects (in collaboration with the Facility and Security Departments).
  • Be responsible for evacuation, in cases of emergency, acting as first point of contact for guests and the emergency services. 
  • Old and dead flowers have to be removed
  • Prospects, flyers, newspapers have to be controlled frequently and old once have to be removed
  • Miscellaneous administrative work
Requirements:
Average academic background/diploma of secondary education
Must be fluent, both oral and written, in English and Arabic
Excellent customer service skills
Excellent communication, presentation and interpersonal skills
Must possess punctuality, discretion, sociability, flexibility
A solid knowledge and experience of the most commonly used programs (Windows Office, e-mail (Outlook), Internet)
1- 2 years’ experience in a customer service role 

Facilities Coordinator

Experience :        5 Years                            
Duties & Responsibilities:
  • Manage and coordinate the delivery of all Facilities Management services.
  • Responsible for FM standards and delivery through KPI's/SLA's
  • Accountable for the financial performance of the site/s service delivery.
  • Manage budgets and prepare regular forecasts according to agreed schedules targets.
  • Responsible for adherence to business controls and CBRE processes and procedures including running FMP
  • Responsible for initiating value adding initiatives at site.
  • Ensure essential site soft and hard services PPM and remedial works are completed
  • Ensure essential site Critical systems (UPS, FM200, Fire Alarm, Emergency Lighting, M&E, and HVAC) and non-critical systems and equipment is maintained
  • Ensure a cost effective maintenance program for all buildings, plant, systems and equipment is in place
  • Manage suppliers who support the site/s
  • Ensure that all Health & Safety and Environmental requirements are in place at site/s within remit.
  • Manage all emergency procedures for the site/s.
  • Develop and manage pass-through opportunities to realize savings.
  • Manage all service contracts including cleaning, vending, security, maintenance etc.
  • Establish effective day-to-day business relationships with the client and take a proactive approach to requirements.
  • Produce regular reports according to schedule agreed with the client.
  • Liaise with landlord and property managers to ensure their service charge obligations are met.
Requirements:
Bachelor’s degree with FM Hard & Soft services experience
Good oral and written communication skills in English
Arabic will be an advantage
Certificate on HSE preferred
Experience of 5+ years in a Facilities Management supervisory role
Team management and leadership skills
Excellent customer service experience and ability to build good rapport
Sound understanding of QHSE requirements in FM industry
Experience in contract management and measurement
PC literate - Microsoft word, excel & power point, FM platform like Maximo
Strong commercial understanding - P&L/ Budget responsibility up to SAR. 3 million.
Capability to manage facilities upto 10k sqm floor area
